Overview

The Associate Director of Academic Services supports the Director of Academic Services in improving academic productivity and performance at ECPI University through the use of appropriate metrics, effective processes, and consistent policy implementation.  Primary areas of focus include the oversight, implementation and development of University Transfer Evaluation Center, identifying and leading projects that impact the systems and operations of the Academic Services Department, and providing leadership and support to Registrar Operations at the Online Campus. The Associate Director collaborates with academics, accreditation, institutional research, IT, admissions, student services, and student accounts to improve and document academic productivity and performance.

Responsibilities

University Transfer Evaluation Center

  • Leads daily operations of transfer credit evaluation, including supervision and training of staff on TES, transfer data entry in student information systems, policies, and processes.
  • Assists in the development and implementation of transfer related policies and procedures.
  • Performs regular audits of student evaluations, TES evaluations and processing timeframes.
  • Ensures the accurate and efficient maintenance of the TES database, transfer evaluation guides and other training materials, student academic records and files, and information systems.
  • Collaborates with the Director of Academic Services and Academic Deans to plan and execute the transfer credit evaluation process and related initiatives according to University standards.

Department Operations

  • Assists in leading the planning and execution of projects that impact the systems and operations of the Academic Services Department including University transfer initiatives.
  • Contributes to the evaluation, implementation, and use of technical solutions related to academic services functions, including but not limited to the SIS, scheduling and registration, transcripts, diplomas, dashboards and workflows, and related automation.
  • Collaborates with the Director of Academic Services to draft and review catalog content and ensure that the policies and processes are appropriately implemented.
  • Identifies opportunities and collaborates with the Director of Academic Services team on enterprise-wide strategic academic projects and institutional effectiveness initiatives.

Campus Support

  • Represents the Academic Services office and develops and maintains relations with ECPI campus locations.
  • Provides guidance and leadership to support the efficient and effective functioning of the Online Registrar’s Office in providing quality service and ensuring compliance.
  • Supports faculty and staff regarding academic policy, process, transfer evaluation and/or student records inquiries to help ensure that the policies and processes are appropriately implemented.

Qualifications

Education/Experience

  • A minimum of a Baccalaureate degree from an accredited college
  • Three to five years of experience working in a higher education setting that includes management responsibilities and project coordination.
  • Experience at a functional and operational level with student information systems, online catalog and curriculum management systems, degree audit systems, and use of query tools for extracting and reporting of student information. 

Knowledge/Skills/Abilities

  • Understanding of the Family Education Rights and Privacy Act (FERPA)
  • Highly dedicated to service excellence for students, University administrators, faculty and others.
  • Ability to work independently and collaboratively with students, faculty, staff, administrators, and other constituents.
  • Well-developed leadership and management skills, including a strong commitment to team building and staff development.
  • Exceptional problem solving, administrative, analytical, interpersonal, communication and organizational skills; high level of professional judgement.
  • Working knowledge of Microsoft Office Suite, particularly Word, Excel, and PowerPoint.
  • The ability to prioritize work effectively and manage time efficiently, lead change and apply process improvements necessary to adapt in a rapidly changing environment.
  • An understanding of institutional structure in an educational environment.
  • Flexibility to learn new methodologies, technologies and systems.

Preferred Qualifications

  • Master’s degree from an accredited college.
  • Five or more years of progressively responsible experience at an accredited institution of higher learning.
  • Advanced knowledge of credit transfer policies and practices in higher education.
  • Experience with student records, enrollment management or the development and coordination of broad scale student success projects.
  • Demonstrated ability to facilitate and coordinate cross-functional teams in a higher education setting.
  • Demonstrated proficiency in:
  • Student information systems, particularly Anthology.
  • Transfer technology systems, particularly CollegeSource/TES.
  • Credit transfer models.
